Using the AI Charting Assistant 

It couldn't be easier to welcome your new virtual team member to your client sessions. AI Charting Assistant integrates right into your existing workflow.

Below you'll find a quick tutorial about how to get started. You'll find more detailed instructions here.

1. Add the AI Charting Assistant feature

  • In your Practice Better portal, click on “My profile”
  • Click on “My Subscription”
  • Scroll down to “My Add-ons” and choose “AI Charting Assistant”

2. Turn it on

For Telehealth Sessions

  • Click on the gear icon in the navigation menu, then choose “Telehealth and Messaging." 
  • Choose “Enable Recordings of Practice Better telehealth sessions on start” so you don't forget to record any sessions. You can still manually turn the recordings on or off during any call.
  • If you use Zoom for your sessions and want to have automatically record them, you can turn on automatic recording by following these steps.

For In-person Sessions

  • From the session details page, scroll down to the Recordings section and click Start recording to start recording the session.
  • You can also click the 3 dots next to the Start recording button to upload an existing audio recording. Files up to a maximum of 200 MB in size can be uploaded. 

You will then be prompted to place your device between you and your client.

3. Choose from three summarization formats 

AI Charting Assistant offers three different styles of formatting your notes. 

  • Outline: Bullet-point description of the client session  
  • Narrative: Long-form description in whole sentences 
  • SOAP: Separated into Subjective, Objective, Assessment, and Plan sections
AI Summaries come in several forms, like SOAP notes.

All three styles capture the same information, just presented a bit differently. It's up to you to choose what works best for you. 

4. Accessing recordings and summaries 

AI Summary takes an audio recording and crafts an accurate transcript. It also does the important work of processing this information into a summary and clear action items that are ready to be added to your final notes. It also creates bookmarks to segments so you can review specific sections of your notes easily.

5. Using the AI Dictation feature

Use AI Dictation to record your speech to text right in your notes.

Once the AI Charting Assistant feature is enabled, you will notice an extra icon in the text editor of your notes.

By clicking the microphone button at the bottom, you will enable the AI Dictation feature. You will also need to ensure that your web browser can access your microphone.

Clicking on this microphone opens the AI Dictation hub. Then, within the hub, you'll click the microphone button to begin active listening.

Next, all you have to do is click a text box in your notes and speak to start the transcription.

To finish the transcription, click the microphone button again, although it will automatically shut off if you stop talking for 15 seconds.

AI Summary records audio and creates a transcript; it doesn't capture video recordings.

Sessions can be recorded in multiple languages; the summaries and action items are supported in English.

How soon will my recording be available?

Recordings are usually available less than a minute after the session is done.
