What should a group practice look for in practice management software like Practice Better?

Look for one system your whole team works in: a unified team calendar, role-based permissions, shared forms and protocols, and billing that works for employees and contractors alike. Practice Better's Team plan puts all four in one platform, with every team booking in one calendar and granular role-based access for practitioners and admin staff (Practice Better Team plan). Billing runs through the owner's processor, each practitioner's own processor, or a mix set service by service (Practice Better Team plan). The plan starts at $155/month with two practitioner licenses and unlimited admin licenses, and each added practitioner costs $50/user/month, up to 200 in total (Practice Better Team plan).

The short version

  • Adding practitioners raises four questions: whose calendar, whose chart, whose payment processor, and how a new practitioner gets set up.
  • Test permissions first. Build a front-desk role during your trial and log in as that person.
  • Decide your billing model before you compare prices, since it shapes how you set up services.
  • Price the plan at the headcount you expect next year, then check what happens to a seat when someone leaves.
  • Practice Better's Team plan comes with a 30-day free trial, so your whole team can run real work through it first (Practice Better Team plan).

This guide is for owners and managers of multi-practitioner practices: dietitians, therapists, health coaches, functional medicine teams, and mixed clinics. If you run group coaching programs, that is a different feature, covered at the end.

What changes when your practice adds a second practitioner

When you practice alone, your software answers one question: what does my day look like? A second practitioner adds four more. Who can book into whose calendar? Who can open which chart? Whose bank account receives the payment? How long until a new hire sees their first client?

Run your current setup against those four questions. If each practitioner keeps a separate calendar, check how your front desk finds an open slot. If notes live in separate accounts, check how two practitioners who share a client see each other's work. If every answer involves a spreadsheet or a group text, the software is the gap.

Practice Better's own list of warning signs covers the symptoms in more detail, from scheduling conflicts to client handover problems: see 7 signs it's time to upgrade your practice management system. For the operating habits that sit on top of the software, the 6-step checklist for a multi-practitioner clinic is the companion read.

Counseling groups have one extra requirement, supervision of pre-licensed clinicians. The practice management software for counselors guide covers the questions to ask about it.

Shared calendar and team booking

Practice Better's unified calendar shows an individual practitioner's calendar or the entire team's upcoming schedule in one place, with a 1-day or 3-day view when you look at several calendars at once (team scheduling and calendar).

Calendar access is set per person. Team owners can give each team member no access, limited access, or full access to view or modify a colleague's calendar, which covers creating, cancelling, and updating sessions (team scheduling and calendar). You can set it so a front desk books for everyone while practitioners see only their own day.

On the client side, a team bookings page lists services, packages, and programs from across your team. You choose which team members and services appear. When several practitioners offer the same service, clients can pick a specific practitioner or any practitioner who is available (team scheduling and calendar). You can also build several bookings pages and use tags to control which groups of clients see each one in their client portal. Calendars sync with Google, Outlook, and iCal (scheduling).

To see the setup, take the team booking page demo.

Roles and permissions

Test permissions before anything else. Every person you add to the account is another login that could open client notes, so check exactly what each role sees.

Practice Better builds permissions from three parts: roles, tags, and team member access (team permissions).

  • Roles. A role is either a Practitioner role, which creates and manages its own resources, or an Administrative role, which manages resources on behalf of practitioners. You can apply one role to many team members or build a role for one person.
  • Tags. If a team member works with clients at one location only, tag those clients and limit that team member to records with the tag.
  • Team member access. By default, each user is restricted to their own resources. You can open access so a user views or edits other team members' resources, for all colleagues or specific ones, with Advanced permissions for finer control.

Practice Better's own example is a scheduling assistant who handles bookings and payments. You can limit that person to the scheduling and invoicing sections, so they never open medical history, session notes, or forms (team permissions). For owners and managers, Practice Admin permissions let selected team members manage subscriptions, troubleshoot access, and oversee team-wide settings (Practice Better Team plan).

Shared charts, private charts, and co-treating clients

Decide how private each practitioner's charts should be. If your practitioners keep separate caseloads, you need tight defaults. If they co-treat, two practitioners need each other's notes.

Practice Better starts private and opens up from there. Each user sees only their own resources until you grant access, and a team member with the right access can view session notes created by colleagues who share the client (team permissions).

Trista Chan, a registered dietitian, grew Nest and Nurture Health into a team of four dietitians, a mental health therapist, and a nurse practitioner on Practice Better. Her providers share notes and message each other inside each client's file, and her rule for clients is one login no matter how many providers they see (Nest and Nurture Health case study).

If you supervise pre-licensed clinicians, ask every vendor whether a supervisor can review and co-sign a supervisee's notes, and how supervised hours are logged.

Shared forms, protocols, and consistent documentation

If each practitioner uses a different intake form, your clients get a different first impression depending on who they book.

Practice Better's Team plan distributes intake forms, protocols, and client files to every practitioner from a single location (Practice Better Team plan). The template library standardizes intake forms, session notes, and follow-ups across every practitioner, with templates built for therapists, nutritionists, health coaches, and integrative medicine practitioners (templates). Your portal, emails, intake forms, and booking links all carry your clinic's logo and colors (Practice Better Team plan).

Billing: who collects the money

Decide which model you run: you collect every payment centrally and pay your team separately, or each practitioner keeps their own revenue.

Practice Better's Team plan supports both. With managed billing on for the whole practice, all client payments go through the team owner's payment processor. Alternatively, each practitioner links their own processor and bills independently. You can also mix the two by enabling managed billing service by service, which lets employee practitioners and independent contractors work under the same account (Practice Better Team plan).

Settle this before you start a trial, since it shapes how you set up services.

If your group bills insurance, Practice Better's billing and insurance tools let you check eligibility, submit claims, track status, manage rejections, and invoice clients for unpaid portions through integrated claims management for US customers. You can also export format-ready CMS-1500 forms and send Superbills to clients (billing and insurance).

Pricing per seat

Check two numbers, the base price and the price per added practitioner, plus who counts as a paid seat.

Practice Better's Team plan starts at $155/month. That includes two practitioner licenses and unlimited admin licenses, so admin users such as front-desk or operations staff add no license cost. Beyond the base, you add practitioners at $50/user/month, up to 200 total practitioners (Practice Better Team plan, pricing). By that published rate, a five-practitioner practice pays $155 plus three added seats at $50, or $305/month.

Three terms matter as much as the price (Practice Better Team plan):

  • No long-term contracts. You can adjust the subscription month to month as your team grows or shrinks.
  • Plan changes. Upgrades apply at any time. Downgrades take effect at the start of your next billing cycle.
  • Seats after someone leaves. Deactivating a team member suspends their access and keeps their seat counted toward your plan limit. Archiving revokes access permanently and removes them from your seat count. Client records, notes, and resources stay in your account either way.

The Team plan also includes every feature on the lower-tier plans, plus team-only capabilities: shared resources, managed billing, and multi-site access (Practice Better Team plan). For the full plan list, see pricing.

Adding a new practitioner

Ask every vendor to walk you through the invite flow and the first week.

In Practice Better, you manage team members from your subscription dashboard. Go to Team Members, click Invite People, select Practitioner or Admin, enter their details, and assign a role and access level. The new team member gets an activation email automatically (Practice Better Team plan). Practice Better offers personalized setup support for each team member who needs to get up and running (Practice Better Team plan).

Trista Chan's experience shows why setup work pays off. Bringing each new provider onto Practice Better took a single onboarding call, because she had already systemized her processes in her own solo account, and those systems extended to the team (Nest and Nurture Health case study).

Build your templates, services, and roles before you invite anyone, the way Trista systemized her solo account first (Nest and Nurture Health case study).

Moving your group to a new platform

Practice Better's basic migration service is free, with advanced support available for an additional fee. Migrations take five business days to complete on average, and Plus and Team plan subscribers get additional setup training in the first month (make the switch). If any of your practitioners already use Practice Better as solo subscribers, their accounts can be merged into your Team account with their client records, notes, and resources intact (Practice Better Team plan).

For the step-by-step plan, read how to switch EHR platforms for group practices.

Reporting across the practice

An owner needs the numbers for the whole practice. The American Medical Association lists generating reports among the core abilities a practice management system needs, alongside scheduling and billing (AMA).

Practice Better's reporting tracks no-shows, unsigned notes, and outstanding balances, lets you set custom goals and compare performance against prior periods, and reports program enrollment, module completion, and cohort engagement (reporting).

Where Practice Better fits best

Practice Better serves health coaches, nutritionists, dietitians, functional medicine providers, and other holistic health professionals, with an emphasis on client engagement, protocols, and lifestyle medicine. Its own comparison with Tebra describes Tebra as serving primary care physicians, specialists, and group practices, with greater emphasis on insurance claim management and revenue cycle management (Practice Better vs. Tebra). If your group is an insurance-heavy medical practice and revenue cycle management is the main job, put platforms built around that workflow on your shortlist and compare them on the checklist above.

Three more limits to check against your plans:

  • Team size. The Team plan scales to 200 total practitioners (Practice Better Team plan).
  • ePrescribing. ePrescribe is available to U.S.-based practitioners only, and each practitioner who prescribes pays an onboarding fee (ePrescribe).
  • Group programs. Group sessions in Practice Better are classes and workshops you run for several clients at once. That feature lives in scheduling, and the Team plan covers the multi-practitioner side. Group scheduling is available on the Professional, Plus, and Team plans (scheduling).

How to run a group trial

The 30-day Team trial gives your whole team time to explore the platform (Practice Better Team plan). Use it this way:

  1. Invite two practitioners and one admin user.
  2. Build a front-desk role and log in as it.
  3. Set up a team bookings page and book a test client with "any available practitioner."
  4. Route one service through managed billing and one through a practitioner's processor.
  5. Share one test client between two practitioners and check what each can see.
  6. Ask the migrations team what moves from your current system and when.

For structured help, run the group practice efficiency audit or work through the operations checklist for a better group practice. To see the Team plan with a guide, tour the group practice management software demo.
